Document glossary for applicants

To evaluate your admission eligibility in a timely manner, we need you to submit all documentation as outlined in your Ontario Tech University Applicant Portal. Below is a glossary of various admission documents that may be required by an applicant. Please only submit what is outlined specifically in your Ontario Tech University Applicant portal.

Credential assessment Sent directly from WES to the university. Results can be mailed or made available electronically. Credential assessment - International Credential Assessment Service of Canada or World Education Services
Deferral request Application for deferral form Request to defer your application to a future academic term (maximum one calendar year)
English proficiency letter Sent directly from the issuing institution to the university. Proof of English language proficiency from an academic institution. The letter should include the student's name, length of time they attended the institution, and that the primary language of instruction and testing was English.
English proficiency not met English proficiency examination has not met the requirements
Extenuating circumstances letter Extenuating circumstances letter A letter outlining extenuating circumstances and how they affected your performance in your secondary or post-secondary studies
Final high school transcript Sent directly from the issuing institution to the university. Ontario high school transcript should be ordered through OUAC. Official high school (secondary school) transcript
Final transcript Sent directly from the issuing institution to the university. Ontario college and university transcripts should be ordered through OUAC. Official final transcript; cannot have any in progress or pre-enrolled courses listed
IB/AP transcript Sent directly from the issuing institution to the university. International Baccalaureate (IB) or Advanced Placement (AP) transcript

Miscellaneous

 

Documents that are not required for admission consideration. These should not be submitted; however, if they are, they will be labelled as such.
Notarized copy of transcript Sent directly from the issuing institution to the university. Notarized copy of transcript (in cases where extreme circumstances exist such as refugee claimants, applicants from countries in turmoil, etc.)
Passport Document upload page. Copy of passport - this can be a scan or image of the main page of the document
Permanent residency card Document upload page. Copy of permanent residency card
Predicted grade (IB/AP) Document upload page. Unofficial predicted IB or AP transcript
Proof of credential conferred

Sent directly from the issuing institution to the university.

This will be manually reviewed and updated on your checklist by our Admissions Officers.

Official final college or university transcript stating that an academic credential has been awarded
Proof of degree conferred

Sent directly from the issuing institution to the university.

Proof of enrolment (upgrading) Upgrading form Proof of enrolment for upgrading course(s) - must include course code, start and end dates, and institution where upgrading is taking place
Proof of OSSD Sent directly from the issuing institution to the university. Ontario high school transcripts should be ordered through OUAC. Proof of receiving an Ontario Secondary School Diploma (OSSD), final high-school transcript
Release of information authorization Release of information authorization form Information authorization disclosure form
SAT test score Sent directly from the issuing institution to the university. Official Scholastic Aptitude Test (SAT) scores from CollegeBoard.org
Upgrading interim mark Document upload page. Interim (in progress) upgrading transcript
Upgrading mark Sent directly from the issuing institution to the university. Official transcript of upgrading course(s)
